Policies and Procedures
Registration: A registration fee of $25 is applied for any new student’s weekly recurring lesson reservation. There is no registration fee for individual lesson bookings or for changing a student’s recurring weekly time.
Reschedule Policy: As a courtesy, and subject to teacher availability, clients may reschedule up to 2 lessons per service every calendar month under the following criteria:
- A minimum of 1 day’s notice must be provided to cancel an appointment via the Opus1 software. In this case, a 30-day reschedule credit will be placed on the student’s account, allowing them to schedule at their convenience.
- It is the client’s responsibility to find another lesson time before the rescheduling credit expires.
- Clients may reschedule their own appointments through the Opus1 scheduling software (link on website) at no additional charge. However, there is a $5 fee for appointments rescheduled through the office, especially if less than 24 hours’ notice is provided on an exemption.
Sick Student or Teacher Remote Policy: If either the student or teacher shows symptoms of illness, the in-person lesson may be requested to switch to a remote lesson with at least 3 hours’ notice.
Substitutions / Teacher Misses: The school reserves the right to provide a substitute teacher if the regularly scheduled teacher is ill or otherwise unable to teach a lesson. If the school cannot arrange a substitute, any missed classes by the teacher may be rescheduled or refunded, according to the client’s preference. Refunds for teacher-missed services will be issued as a lesson credit, which will reduce the following month’s tuition.
Client/Parent’s Responsibility for Conservatory Dates and Events: It is the responsibility of the parent or adult student to stay informed of all school activities, recitals, extra classes, and dates the school is open or closed. All notices will be posted on the bulletin board or sent via email.
Payment of Fees: Tuition must be paid via automatic debit, credit card, or ACH payment. Tuition will be charged on the 1st of each month. Tuition is set on a monthly basis, regardless of how services are offered in any given month. Teacher-missed services will be refunded based on a calendar month offering 4 services. Some months may include 3, 4, or 5 services, as well as evaluations and recitals. Annually, this averages over 4 services per month.
Withdrawal Policy: To withdraw from weekly lessons, a written notice (letter, email to [email protected], or withdrawal form) must be submitted to the office at least 15 days prior to the last lesson. If there is credit on the account beyond the 15-day notice, it will be refunded or placed on the account for future use. No credit will be given for lessons within the 15-day notice period that are not taken or rescheduled by the client.
Extreme Weather or Unexpected Interruption of Classes: If the school must cancel classes due to extreme weather or events beyond our control (such as power outages), the missed lesson will be made up by the end of the teaching year. No refunds will be issued for lessons missed due to extreme weather or unforeseen interruptions.
Care of Students: The school is not responsible for providing before- or after-class care. Parents of students under the age of 6 are required to remain on-site during classes. Students should not be left at the school for extended periods before or after class but are welcome to use practice rooms.
Injuries: Parents/guardians of minor students and adult students waive the right to take legal action for any injuries sustained on school property, resulting from activities conducted by the student before, during, or after class.
Photo Release: The school is granted permission to take photographs of students for use in brochures, websites, posters, advertisements, and other promotional materials.
Medical Holds:
In the event of illness or injury, tuition may be deferred for up to 4 weeks, without withdrawal, with advanced notice. A doctor’s note may be required
